COORDINATOR, FACILITY RENTAL DEPARTMENT

The Ronald Reagan Presidential Foundation is a non-profit, non-partisan organization that sustains the Ronald Reagan Presidential Library and Museum, the Center for Public Affairs and the Presidential Learning Center. Located in Simi Valley, California the Library houses over 55 million pages of government documents and personal papers and the Museum is home to more than 100,000 artifacts chronicling the life and legacy of America's 40th President.
Job Requirements:
The person hired for this position must have strong organizational capabilities and the ability to multitask. This person must also be able to be a part of team, have the ability to work for several different staff members at the same time, and be Customer Service oriented. Person must also be highly proficient in Microsoft Outlook, Word (including mail merges) and Microsoft Excel. Knowledge of VISTA software is beneficial but not required. Experience in facility rentals is a plus. Some overtime, evenings and weekends are required. This is a full-time position.
JOB DESCRIPTION:
- Office Administrative Support
- General office support for a department of 3.
- Answer phones
- Filing
- Assist with mailings
- Facility Rental Coordination
- Take client calls and emails
- During busy seasons, supervise weekend and/or evening events
- All post-event follow-up: Invoicing, thank you letters, evaluation forms, and database updates
- Maintain Databases, Spreadsheets and Reporting
- Use VISTA software for all reporting and tracking
- Use Excel for invoicing and list management
- Generate Monthy reports
- Update and maintain master calendars for the Facility Rental Team.
- Coordinate White House Lunch Program
- Take all incoming calls
- Plan events/work with clients
- Coordinate with volunteers and caterers
- Invoice groups
- Maintain current client relationships and explore new opportunities for growth.
- Coordinate Reservations for Foundation sponsored events.
- Take all incoming inquiry and reservation calls
- Track reservations and payments received
- Process credit card payments
- Coordinate with volunteers and caterers
- Greet guests for the event at the check-in
- Assist with Marketing
- Identify and research potential clients for marketing opportunities for team. Organize data to support marketing efforts.
- Create and disperse email blasts for Foundation sponsored events
- Maintain database of Foundation sponsored event guests.
- Proof marketing materials.
- Facility Rental Operations.
- Assist the team in prepping for events to include sign creation and placement, checklists and any other required tasks.
- Participate in client walk-throughs on a consistent basis.
- Participate and assist in specific events on a consistent basis-minimum of 1 weekend event per month.
- Learn all operational aspects of the event to include audio visual, the roles of security, custodial, and caterer.
